Crimson Cards will stop working on IU Health doors when the hardware/infrastructure is upgraded building by building. Please plan to obtain your IU Health badge for door access before December 2024.
If you are a new IU employee that will need physical door access in IU Health space:
- While you are onboarding to IU and obtaining your IU badge, you also need to obtain an IU Health badge via the IU Health badging process.
How to Obtain an IU Health Badge:
- 1. If you are in the Graduate Medical Education office, there are existing processes between IU and IU Health on creating you in IU Health’s people system due to the information system access that is also needed. You will need to follow the below process still to obtain an IU Health badge.
2. If you work out of Fairbanks Hall, the Pathology Lab, the Neurosciences building, or another IU Health space, you also need to follow the below process. A recommendation is that a program coordinator or sole leader is responsible for your team and ensuring accurate data.

Steps to take:
- 1. Your IU Health leader or IU Health program point of contact must ensure you exist in IU Health’s Oracle system with the correct job code, preferred first name, last name, a valid e-mail address in the home e-mail field (can be personal e-mail or school e-mail), date of birth, and accurate work location (how your access will be assigned in the future).
2. Once you exist in IU Health’s system, the data automatically flows into IU Health’s badge photo software and a photo submission link is triggered to the e-mail provided above.
3. You will receive a photo submission e-mail from idbadging@iuhealth.org to upload your IU Health badge photo and select the badge printing location that is most convenient for you.
4. You will receive an approval, photo pending, or photo denied e-mail based on the picture you upload. Follow the badge photo guidance to ensure you receive an approval.
5. Once your photo is approved, your badge will print at the location you selected, and you can stop by to pick it up. - Important: Please do not visit a badge printing location until you have completed the above self-service photo submission process. The badge printing locations do not take photos as your data has to process through IU Health’s systems before a badge can be generated.

Frequently Asked Questions
- If a photo was submitted before early March, use this link to identify your location (IU Health login or VPN connection may be required). These locations have been based on Oracle region and work locations. An e-mail was also sent to these individuals in April.
- If a photo was submitted after early March, your badge is the first batch being printed internally. You will receive an e-mail when you can pick it up in June.
- If you haven't submitted a photo, see #2.
You will receive an e-mail link to upload your photo in May. The universal submission link no longer exists as the enterprise rebadge is complete.
- If a person uploads an inaccurate photo, that person will be responsible for the costs/associated fees of their replacement badge and it will be handled with HR and your leader.
Use the schedule below and pick up your badge at your earliest convenience. IU Health will begin changing door access systems later in 2024, which will cause old badges and Crimson Cards to stop working.

Leaders (or designated team members) are welcome to swap badges for their team. Bring the old badge (or Crimson Card) with you to pick up the new badge.
During onboarding to IU Health, new team members will upload their badge photo and choose their badge printing location when they are completing other new hire paperwork. For others (e.g. contingent workers and non-workers), they will receive the link to upload their badge photo and choose their badge printing location after they are added into Oracle.
All IU Health team members, contingent workers, and non-workers that currently have a physical access badge will need to obtain a new badge. This includes individuals using their Crimson Cards at IU Health. To obtain a badge, these individuals must exist in Oracle under the appropriate IU Health leader. For more details, see the ID Badging Policy on PolicyTech.
New badges will function that same as current badges and existing access will be maintained.
There is new technology on the inside of the card and if it is punctured, the technology breaks, and the badge will not work. If a person punctures their badge, they will be responsible for the replacement cost.

Team member badges are based on primary positions in Oracle. A process for secondary positions will be coming.
IU Health is updating its badging technology to a more secure version that will be standard across the system. This step enables the organization to update other physical access systems, so it can continue creating a safer environment for team members and patients. The standardization will more easily and consistently identify team members to patients and guests and allow for more seamless floating across units, departments, facilities, and the enterprise.
