GME CrimsonCard Information

CrimsonCard is the official photo ID for all IU campuses and provides access to essential services at the university and associated hospitals.

1.You may use your professional headshot or take a photo that meets the requirements.
2.Once you have your photo, click Upload and login with your University username and passphrase.
3. Choose the appropriate distribution method:
   -Pickup - This option is for Indianapolis based employees. Select IUPUI - Campus Center 217 as your pick up location.
   -Mail - This option is for residents in statewide expansion programs. Enter the address where you would like it mailed. 
4. For 'Reason' select 'New Employee/Resident/Fellow - Initial Card'
5. Click the 'Provide your photo' box and upload your photo
6. Click the 'Photo being uploaded meets all photo requirements' box only if your photo meets the requirements. If your photo does not meet the requirements, upload a photo that does.
7. Click 'Continue' - You may be asked to upload a picture of documentation verifying your indentity. Examples include, driver's license, passport, military ID, or state ID. 
8. Click 'Submit'
9. Within one to two business days, an email will be sent to your university email informing you that your photo has been approved or denied. If denied, a new photo will need to be uploaded.

Your CrimsonCard will be used to:

  • identify you as a member of the IU School of Medicine community
  • gain secure entry to buildings, labs, and other restricted areas
  • make purchases both on- and off-campus using CrimsonCash
  • receive discounts at various vendors

If your CrimsonCard is lost, misplaced, or stolen, you should immediately login to your CrimsonCard account and deactivate your card. Doing this will prevent your CrimsonCard from being used for access into restricted areas or as payment. 

A replacement CrimsonCard can be obtained by visiting the CrimsonCard office on any IU campus. The CrimsonCard office at IUPUI is located in the Campus Center (420 University Blvd.) in suite 217. 

A replacement fee of $25 will be charged. A new picture will be taken, and your replacement CrimsonCard will be printed at that time. 

The CrimsonCard Office does not manage or assign access at IU or any hospital.

Each building has an individual coordinator who assigns door permissions. If your CrimsonCard is not working for access, first contact your program coordinator or building coordinator to ensure that the appropriate permissions have been assigned.

Using your CrimsonCard to make purchases

IU Employees can make purchases with their CrimsonCard at 150+ locations state-wide and 300,000+ restaurants nationwide utilizing the Grubhub app. These purchases can then be deducted directly from your paycheck! For your convenience, most hospital cafeterias, eateries, and gift shops accept CrimsonCard as payment, as well as off-campus restaurants, Kroger, and Grubhub. The Payroll Prepaid option is available to Indiana University employees, except for employees in a “no-pay” status. Eligible employees can add funds to their CrimsonCash account by authorizing a recurring deduction from each paycheck be deposited into their CrimsonCash account. Monthly paid employees can request to have between $5 and $150, and biweekly employees can request to have between $5 and $75 automatically deposited into their CrimsonCash account each paycheck. 

Funds in your CrimsonCash account will continue to accumulate until it is used as payment. 

To sign up for Payroll Prepay: 

  1. Login into your CrimsonCard account with your username and passphrase
  2. Click My Accounts
  3. Click Prepay Options
  4. Click Opt-In
  5. Enter the amount you would like deposited into your CrimsonCash account each pay cycle. 
  6. Accept the Terms and Conditions
  7. It may take up to 4 weeks for your first deposit to be made into your CrimsonCard account. The timing will depend on where the University is in the payroll schedule. 

Payroll Advance allows eligible employees to make purchases with their CrimsonCard up to a predetermined limit—$150 for employees paid monthly and $75 for employees paid bi-weekly. Purchases made during a payroll cycle are then deducted from the employee's next paycheck.

To enroll in Payroll Advance:

  1. Login into your CrimsonCard account with your username and passphrase
  2. Click My Accounts
  3. Click Payroll Advance
  4. Accept the Terms and Conditions
  5. Click Opt-In
  6. Go buy lunch with your CrimsonCard!

Residents and Fellows can manage their CrimsonCash account online at crimsoncard.com by clicking on the Manage My ID Card and logging in with your IU username and passphrase. 

From here, you can: 

  • Enroll in Payroll Advance or Payroll Prepaid (connecting your CrimsonCard to your paycheck)
  • Check your balance
  • View your transaction history
  • Deactivate a lost or stolen CrimsonCard
  • Set up automatic account notifications
